Description
Open Entity is based on the creation of data templates that not only allow reading and saving the required information but can also transform it into completely different data or entities, thanks to its programmable properties such as the use of variables, date, text and math formulas, conditional groups for formula calculations, automatic retrieval of series and field values external to the template itself, data mapping, etc.
The application's functionality is executed from the Control Panel and from the main data lists in Business Central using the combined Copy/Clipboard action. There are two distinct panels: one for regular users of the application and another specially designed for consultants, developers, or key users, providing them with the necessary tools to manage the application's backend and create the functionality needed by the company and its users.
It allows the copying of any simple or compound entity by changing any of its fields at any of its levels. It is not limited solely to master data such as customers or products but also to any type of document such as orders, invoices, projects, journals, etc. It has a special incremental insertion operation specially designed to avoid data overwrite when multiple users may intervene simultaneously (Gen. Journals, etc.).
COPY - PASTE
The execution of scheduled processes from the templates offers the possibility to modify or correct data massively and also to create new data for any required business operation, such as creating discounts applicable to certain products for certain customers as a promotional campaign, generating documents from any selection of data such as sales orders, purchase orders, etc. With this functionality, it is no longer necessary for a developer to create a 'ad hoc' program or extension to respond to most of the company's requirements.
PROCESS EXECUTION
It allows us to save any selected set of data from Business Central into a personal file to be consulted or retrieved at some future time. It can be useful as a backup focused on specific data. Combined with the Requests feature in the Advanced version, it can store a history of our requests for information from other companies.
DATA ARCHIVING AND RECOVERY
Any data selection created by Open Entity templates can be exported to Excel, thus creating reports of interest with the ability to total quantities and amounts at their different levels, ultimately generating their overall totals. You can take any type of data to Excel, from customers with balances and their related transactions, accounting documents and their lines, journals, inventories, and statistical product data by warehouse and date, etc.
EXCEL
Basic Module
In its Basic version, it allows multiple operations such as Copy-Paste, Process Execution, creating Excel reports, and Archiving data.
It allows us to export our entities to other Business Central environments, either to other companies within the group or to other companies with whom we share joint business interests and who also have the application implemented.
The data export is extremely flexible since it offers the necessary mechanisms to manipulate the data, even converting them into completely different entities according to our needs.
These modeling operations are based on the export perspective defined in its templates; we can program an export to make changes to its data when we generate them, when the recipient receives them, or in both cases.
This modeling is possible thanks to the programming capability offered by Open Entity through the use of variables, searching for values from other entities external to the template, formulas, conditionals that must be met for their calculation, substitution by serial numbers or value mapping, etc.
EXPORT - IMPORT
Open Entity allows subscription to the Business Central change notification service to third-party applications and itself (after installing a downloadable Azure function on our website). If we subscribe to our own company, we can trigger processes or export those modified data to other Business Central environments.
Equivalences are data or entities related between a source and a destination that we have created automatically or manually. For example, we can relate a customer in the source with another customer and/or a vendor in the destination whose code or numbering are different. Any export operation or webhook notification can potentially propagate their changes to those entities in the destination if specified.
WEBHOOKS AND EQUIVALENCES
There is only one entry point (API) for the input and/or modification of data in Business Central. Simply send the information in XML or JSON format compressed (gzip) and specify which template will process that information and the user or device sending it.
For reading data from Business Central, several services are offered, such as reading an entity by simply specifying its template code and desired filters in the request. It also allows for entity deletion and obtaining and reserving native serial codes from Business Central that the application may need.
EXTERNAL CONNECTIVITY WITH THIRD PARTY APPs
Requests are templates specially designed to request information or entities from another company or tenant in Business Central. For example, we may want to know which customers exceed a certain balance or the current stock levels of their products. The information obtained will depend on the structure of the destination template that is invoked. The information obtained from the requests can be saved in our Personal Archive.
REQUESTS
It consists of special templates where the tables, fields, and filters of the data to be exported/replicated are specified. It has its own weekly calendar to execute the replication processes.
CLASIC REPLICATOR
Advanced module
In addition to including the functionality of the Basic module, the Advanced version allows for the export and replication of data to other companies, as well as offering necessary services to receive data from applications programmed by third parties.
